4. Records available without a PAIA request
Our public website, Privacy Policy, Terms and Conditions, this manual and published marketing material are available without a formal request. Other records are not automatically available unless the law requires disclosure.
5. Records we hold
- close corporation, ownership and governance records;
- financial, accounting, banking, transaction and tax records;
- customer enquiries, orders, receipts, support messages and website materials;
- supplier, contractor, hosting, domain and service-provider records;
- website, security, system, billing and operational records;
- advertising, campaign, consent and marketing records; and
- privacy, PAIA, complaint, dispute and other compliance records.
Holding a category of record does not mean that every record will be disclosed. PAIA's grounds for refusing access still apply.
6. Applicable legislation
Records may be kept under legislation including PAIA, POPIA, the Close Corporations Act, Companies Act, Consumer Protection Act, Electronic Communications and Transactions Act, Income Tax Act and Tax Administration Act, together with other laws that apply to a particular record or service.
7. How to request a record
- Complete the prescribed Form 2: Request for Access to Record, available from the Information Regulator's PAIA page.
- Send it to [email protected] or deliver it to our address above.
- Describe the record clearly, state the right you want to exercise or protect, and explain why the record is required for that purpose.
- Include enough information for us to verify your identity and contact you. If you act for someone else, include proof of authority.
We will tell you whether the request is granted and whether a prescribed search, preparation or access fee is payable. We will not release a record until any required fee has been paid.
8. Personal information under POPIA
We process personal information about customers and prospective customers, website visitors, suppliers and contractors, and the people who represent those businesses.
- Categories: identity and contact details; business and website content; messages and support records; order, payment and billing records; technical and security data; and advertising choices and identifiers.
- Purposes: taking payment, building and delivering websites, providing support and optional services, communicating about orders, securing the service, measuring advertising where permitted, keeping required records and handling legal claims.
- Recipients: payment, billing, email, messaging, hosting, infrastructure and advertising providers; professional advisers; and regulators or law-enforcement bodies where legally required.
- Cross-border processing: service providers may process information in Europe, the United States and other countries where their infrastructure or support teams operate, subject to contractual or other safeguards intended to provide comparable protection.
- Security: we use access controls, service-provider safeguards, secure transport, restricted payment-card handling, system monitoring and reasonable technical and organisational measures appropriate to the information and risk.
Our Privacy Policy provides more detail about processing, retention and your rights.
9. Availability
This manual is available free of charge on the Just1 website, from our principal address during reasonable business hours, or by emailing [email protected]. A printed copy may carry a reasonable reproduction charge where the law permits it.
